What Is an Employment Verification Letter? Definition and Use

What an employment verification letter is, what it confirms, who asks for it, and how it differs from a VOE form. Generate one online.

An employment verification letter is a signed statement from an employer confirming that a person works there. It answers a single question a third party needs settled — is this person really employed, and on what terms — from a source the reader can trust, rather than from the applicant’s own word.

It is one of the most commonly requested documents in renting, lending, and immigration, and it goes by several names. This guide explains what the letter actually confirms, who asks for it and why, and how it differs from the related documents people often confuse it with.

What an employment verification letter confirms

At its core the letter confirms a small set of facts, straight from the employer:

  • The employee’s name and job title
  • That they are currently employed (or the dates they were)
  • Their employment status — full-time, part-time, or contract
  • The start date, and end date for a former employee

Some requests also ask the employer to confirm income, in which case the letter doubles as proof of income. Others deliberately leave salary out. What goes in depends entirely on who is asking — which is why the request usually specifies it.

Who asks for one, and why

The letter shows up wherever a decision depends on your job being real and stable:

In almost every case it is one item inside a larger document set, not the only thing requested.

Letter vs form vs “proof of employment”

The names cause real confusion:

  • An employment verification letter is written by the employer, usually in response to your request, in flexible wording on company letterhead.
  • A verification of employment (VOE) form is a fixed form a lender or agency sends the employer to fill in and return — same facts, structured fields. If you were handed a specific form, see our verification of employment form guide.
  • A proof of employment letter and a letter of employment are just other names for the same verification letter.

If income is the real focus of the request, what you actually need may be an income verification letter instead.

Can you write your own?

The verification must come from the employer to stay independent, so you do not write it about yourself — but you can prepare the letter for HR or your manager to review and sign, which speeds things up. Using a clean, standard structure lowers the chance of rejection.
