How to write an employment verification letter

If you are the employer, HR manager, or business owner writing the letter, keep it short, factual, and on company letterhead. The standard structure runs top to bottom: the date, the recipient (or "To Whom It May Concern"), one or two sentences confirming the employment, and a signature block with your name, title, and a phone number or email for verification calls.

The core sentence most letters use: "This letter confirms that [employee name] has been employed with [company] as [job title] since [start date] on a full-time basis." Add the salary only when the employee tells you the recipient needs it, and close with an offer to answer questions. Three to five sentences is normal — recipients want confirmation, not a reference.

What employers should and shouldn't disclose

  • Confirm: employment status, job title, start date, and — with the employee's consent — salary.
  • Leave out: Social Security numbers, medical or leave history, performance reviews, disciplinary records, and personal opinions.
  • Answer what was asked. If the request is only "does this person work here," a one-line confirmation is enough.
  • Get the employee's OK before sending anything to a third party — some states restrict what employers may share about pay.
